Executive Secretary Functions  
  • Assist the Reputation and Risk Leader (RRL) with the yearly claims sweep process
  • Assist the RRL with the collation and recording of risk responses for reporting to Global on an annual basis
  • Taking and transcribing of meeting minutes
  • Transcribing of legal documents
  • Monthly expense management for Directors
  • Deals with day-to-day matters (including but not limited to attending to RIL’s travel arrangements; attending to RIL’s payments and invoices; formatting legal documents and presentations; attending to printing, indexing, filing) on behalf of managers/senior managers/directors to allow their focus to be on achievement of strategic objectives
     
    Emails
  • Tracking urgent emails and advising Partner/Director on the required action.
  • Manage incoming and outgoing mail.
     
    Scheduling
  • Anticipate requirements in diary for tasks other than meetings.
  • Effectively schedule and manage internal and external meetings.
  • Confirm all appointments well in advance.
  • Set well-timed reminders for all appointments.
  • Take account of venue, travel and meeting intervals.
  • Take into account time for meetings and venues when organising travel arrangements.
     
  • Ensure accurate understanding of the instruction conveyed by the Partner/Director when requested to organise appointments by using effective listening and questioning skills.

  • Typing and formatting of documents, reports and presentations.

  • Typing of transcriptions when required.
  • Manage stationery supplies for self and Partner/Director.
  • Managing follow ups on IT queries for Partner/Director
  • General administrative responsibilities, filing, faxing, printing, binding and photocopying.
  • Processing of purchase orders and invoices for expenses incurred by Partner/Director
  • Completing timesheet for Partner/Director
  • Payment requisitions
     
    Meetings
  • Booking appropriate meeting rooms and required equipment to be used timeously.
  • Booking of meals for meetings hosted by Partner/Director.
  • Arranging parking at off-site meetings.
  • Preparing agendas for meetings.
  • Preparing reference material.
  • Recording minutes at meetings, typing and distributing them.
  • Timely follow up on action items after all meetings.
  • Arranging teleconferences and videoconferences.
     
    Events
  • Coordinating and contributing to events by organising and assisting various teams, as required
  • Organising catering.
     
    Research & Filing
  • Effective use of macro and micro search engines for client and internal research
  • Keep track of new and existing contacts by updating contact lists.
  • File and retrieve all documents electronically.
  • Manage filing system on a daily basis.
